Using the board
Layout
Section titled “Layout”From left to right, the top row of the widget shows:
- the Task Keeper logo,
- the title, Tasks until you rename it,
- the filter strip, only while a filter is on (see Filters),
- Progress: a bar and the number of cards in Done out of all cards shown, for example
3 / 12, - the tridiART button, which opens tridiart.com in your browser.
Below are the four columns. The Team and Tags panels appear under the columns when you turn them on in the toolbar.
Columns and the flow
Section titled “Columns and the flow”Cards move through To do → In progress → Review → Done. Each card has buttons for the moves its column allows:
| Column | Buttons on the card |
|---|---|
| To do | Right arrow: Move to In progress |
| In progress | Left arrow: Back to To do. Paper plane: Send to review |
| Review | Approve and Revision (no arrows) |
| Done | Curved arrow: Back to review |
The names in bold are the button tooltips. Some consequences of this flow:
- New tasks can only be added in To do and In progress.
- A card reaches Done only through Approve, and leaves Review for In progress only through Revision with a note.
- There is no drag and drop. Figma’s widget API doesn’t support dragging items inside a widget, so cards move with these buttons.
Card anatomy
Section titled “Card anatomy”From top to bottom, a card shows:
- Title and × (Delete task).
- Revision note, if the card was sent back:
Revision 2 · Miraand the note. It is hidden in Done. - Approval line, in Done:
Approved by Mira, orApproved by Mira · 2 rev.when the card had revisions. - Info labels, when there are any: tags, the subtask counter such as
2/5, and the linked object. - Action row: the priority label, the assignee’s photo or initials (a dashed circle when nobody is assigned), the assignee’s first name and the column buttons.
- Tool row of small grey icons: Add tag, Add subtasks, Link to selected object, History, and on the right Move up and Move down.
- Approve and Revision buttons, in Review only.
- Open panels: subtasks, tags, history or the assign list.
Add subtasks only appears while a card has no subtasks, Link to selected object only while it has no link, and Move up / Move down only when there is a neighbouring card of the same priority.
The card takes a lighter shade of its column’s color, so it changes color when it moves.
Adding tasks
Section titled “Adding tasks”Click Add task at the bottom of To do or In progress, type a title and press Enter (the task is also added when you click away with text in the field). A new task has Medium priority and nobody assigned, and goes to the bottom of the Medium cards in that column.
Pasting a list
Section titled “Pasting a list”Paste several lines into Add task and every non-empty line becomes its own task. List markers at the start of a line are removed when a space follows them:
| Kind | Markers |
|---|---|
| Dash, asterisk, bullets | - * • ▪ ◦ |
| Numbers | 1. 12) |
| Checkboxes | [ ] [x] [X] [] |
- Update the logo1. Export the icons[x] Fix the cover textThis adds three tasks: Update the logo, Export the icons and Fix the cover text. A checked box does not mark the task as done, and indented lines become ordinary tasks; there is no nesting. When more than one task is added, FigJam shows a message such as 3 tasks added.
Editing and deleting
Section titled “Editing and deleting”- Title: click a card’s title, edit it and press Enter. An empty title is ignored and the old one stays. In Done the title is struck through and cannot be edited.
- Delete: × at the top right of a card (Delete task) removes the card at once, with its subtasks and history. There is no confirmation.
Review
Section titled “Review”Approve
Section titled “Approve”Click Approve on a card in Review. The card moves to Done, you are recorded as the approver, and the card shows Approved by and your first name, followed by the number of revisions if there were any (Approved by Mira · 2 rev.). The history records approved it.
Revision
Section titled “Revision”-
Click Revision on a card in Review. A Revision note field replaces the two buttons.
-
Write what needs to change. Enter starts a new line.
-
Click Send. Without a note, FigJam shows Write the revision note first and the card stays in Review. Cancel closes the field and discards the note.
After Send:
- the card moves back to In progress,
- its revision count goes up by one,
- the card shows the note under its title with the header
Revision 1 · Mira(the revision number and the first name of the person who wrote it), - the history records the full note, for example
requested revision 1: "Make the logo larger".
The note stays on the card in To do, In progress and Review, so the reviewer sees it when the card comes back. Only the latest note is shown on the card; earlier notes are in the history.
Anyone who can use the widget can approve or request a revision, including the person assigned to the card. There is no reviewer role.
Undo an approval
Section titled “Undo an approval”In Done, click the curved arrow (Back to review). The card returns to Review, the approver is cleared and the history records moved it back to review. The revision count is kept.
Priorities and sorting
Section titled “Priorities and sorting”| Priority | Label |
|---|---|
| High | Red, double up arrow |
| Medium | Orange, flat line |
| Low | Purple, down arrow |
Click the priority label (Change priority) to switch to the next one: Medium → High → Low → Medium. The icons tell the priorities apart without relying on color.
Each column lists High cards first, then Medium, then Low. Within the same priority, cards keep the order in which they were added unless you change it. A card whose priority changes moves into its new group right away. Priority changes are not recorded in the history.
Reordering cards
Section titled “Reordering cards”Move up and Move down at the right of a card’s tool row swap the card with its neighbour. They only appear next to a card of the same priority; to move a card past another priority group, change its priority. While a filter is on, a card swaps with the neighbour you can see.
Subtasks
Section titled “Subtasks”Click Add subtasks in a card’s tool row to open the Subtasks list.
- Type in Add item and press Enter to add an item.
- Click the box in front of an item to check or uncheck it.
- Click an item’s text to edit it. If you delete all of its text, the item is removed.
- × (Delete item) removes an item.
The card shows a counter such as 2/5 that turns green when every item is checked. Click the counter to open or close the list. Subtasks do not move the card or count toward the progress bar.
Linking a card to an object
Section titled “Linking a card to an object”-
Select an object on the board: a frame, a sticky, a shape or anything else.
-
Click Link to selected object in the card’s tool row. FigJam shows Linked to “…” with the object’s name.
The card shows a blue label with the object’s name, shortened after 28 characters. Click it (Go to object) to zoom to the object; if it is on another page, Task Keeper switches to that page first. If the object was renamed, the label takes the new name when you click it.
- With nothing selected, FigJam shows Select the object to link first. The widget itself does not count as a selection.
- If the object was deleted, FigJam shows The linked object was not found.
- × on the label (Remove link) removes the link. A card has one link at a time; remove it to link another object.
Each Task Keeper widget has its own list of tags.
Tags on a card
Section titled “Tags on a card”Click Add tag in the card’s tool row, or click one of the card’s tags, to open the Tags list.
- Click a tag to add it to the card or remove it. Tags on the card have a check mark.
- Type a name in New tag and press Enter to create a tag and add it to the card. If a tag with that name already exists (ignoring upper and lower case), that tag is added instead of a duplicate.
The Tags panel
Section titled “The Tags panel”Turn on Edit tags in the toolbar to show the Tags panel under the columns. It says No tags yet. until you create one. For each tag it shows:
- a color dot: click it (Change color) to switch to the next of eight colors: red, orange, yellow, green, teal, blue, purple and pink,
- the name: click it to rename the tag on every card,
- the number of cards that use it,
- × (Delete tag), which deletes the tag and removes it from every card, without confirmation. A filter on that tag returns to All tasks.
Use New tag at the end of the panel to create a tag without adding it to a card. New tags take the eight colors in turn.
Collapsing columns
Section titled “Collapsing columns”Click a column’s header (Collapse column) to fold it to its name and card count. Click it again (Expand column) to open it. A collapsed To do or In progress column also hides Add task.
Clear done
Section titled “Clear done”Clear done in the toolbar deletes every card in Done, including cards hidden by the current filter. There is no confirmation.
Board title
Section titled “Board title”Click the title, type a new one and press Enter. Long titles are cut off at the width of the field. If you clear the title, it shows the default title of the current language again (Tasks in English). If you use one widget per category, the title is the category’s name.
Toolbar
Section titled “Toolbar”Select the widget to open its toolbar:
| Item | What it does |
|---|---|
| Size | 1x, 5x, 10x, 25x, 50x or 100x |
| Language | EN or TR |
| Filter | Which cards are shown. See Filters. |
| Edit team | Shows or hides the Team panel. See Team. |
| Edit tags | Shows or hides the Tags panel |
| Clear done | Deletes every card in Done |
Shared panels
Section titled “Shared panels”Everything you open on the widget is part of the board, so everyone sees it: the Team and Tags panels, collapsed columns, the filter, and the subtasks, tags, history, assign list or revision note open on a card. Each kind of card panel is open on one card at a time; opening the history of a second card closes it on the first.
Background colors
Section titled “Background colors”Each widget gets a pastel background: lavender, peach, mint, sky blue, rose, lemon, sage or lilac. A new widget takes the first color that no other Task Keeper widget on the same page uses, and with more than eight widgets the least used one. A copy of a widget (for example with Ctrl+D) picks a new color too. You cannot choose the color yourself.
Size in the toolbar scales the whole widget: 1x, 5x, 10x, 25x, 50x or 100x. A new widget starts at 1x, where each column is 315 px wide and the widget a little over 1,300 px. The widget cannot be resized by dragging its corners; use Size.
Language
Section titled “Language”Language in the toolbar switches the interface between English (EN, the default) and Turkish (TR) for everyone looking at the board. It changes every label, the column names, the default title (unless you renamed the board) and the history texts. Task titles, tag names and notes stay as they were written.
